Our client, a rapidly growing  successful distribution business, is looking for a motivated and detail-oriented Logistics Coordinator to join their team for a 6-month contract. This is an excellent opportunity to gain valuable experience in a fast-paced logistics environment, with the potential for a contract extension. The role will require a proactive approach in managing various logistics activities, including collections, documentation, supplier invoices, and customs procedures.

Logistics Coordinator – About The Role

Arranging Collections:

  • Liaise between the factory, freight forwarder, and internal stakeholders to schedule and arrange the collection and shipping of freight.
  • Raise internal Advanced Shipping Notices (ASN) within SAP and update ASNs with estimated delivery dates.
  • Appoint shipments to freight modes based on cost-effectiveness and priority.

Obtaining and Documenting Shipping Documents:

  • Obtain and organize all necessary shipping documents, including Commercial Invoices, Packing Lists, Bill of Lading, MRNs, and Customs Clearance documents.
  • Ensure all customs clearance submissions are accurate and timely.
  • Maintain accurate records and update SAP, including document archiving.

Supplier Invoice Checks: Ensure relevant elements of supplier invoices match the data in SAP and flag discrepancies to the Buying team for resolution.

Inbound Tracking:

  • Provide stakeholders with an overview of planned deliveries.
  • Report product-level details for shipments that deviate from the planned schedule.

Freight Invoices:

  • Validate freight invoices to ensure accuracy in billing and resolve any discrepancies.
  • Receipted PO Maintenance:
  • Review open purchase orders (POs) against receipts to ensure they are fully receipted.
  • Work with the Buyer to close open POs as required.

Managing Logistics Supplier Relationships:

  • Lead meetings with logistics providers to review freight market trends and provide business updates.
  • Proactively engage with logistics providers to address any service level issues.

General Logistics Oversight:

  • Responsible for arranging the collection and tracking of all inbound shipments.
  • Ensure all shipments are accompanied by the necessary documentation and prepare breakdowns for customs brokers.
  • Ensure the accuracy of customs declarations and facilitate smooth clearance.

Additional Responsibilities:

  • Supplier invoice checks for both product and freight.
  • Provide regular summaries to the business detailing the status of inbound shipments.
  • Manage relationships with Freight Forwarders to ensure effective and efficient operations.

Key Accountabilities:

  • Collaborate with Purchasing, Sales and Operations Planning, Finance, and Inventory Control teams.
  • Balance cost-effectiveness with timely shipping solutions.
  • Ensure compliance with all UK legislation related to imports.
  • Uphold internal service level agreements (SLAs) and operational standards.

The successful Logistics Coordinator will have:

  • Proven experience in a similar logistics or shipping role is essential.
  • Proficient in Microsoft Office 365 with intermediate Excel skills.
  • Familiarity with customs clearance processes is advantageous.
  • Experience in the Freight Forwarding industry is a plus.
  • Right to work in the UK is required.
  • Must have access to your own mode of transport, as driving to the onsite location is required.
